A couple-approved list can say who belongs in each photograph without saying who is still missing or who owns the retry. This packet gives caller and gatherer matching IDs and a separate recovery log. It does not gather people for you or replace the photographer's decisions.

Twelve IDs, full membership, movement cues and capture status. A ready group is not a confirmed photograph.
03 / Gatherer sheet
The same twelve IDs, readiness, missing names and caller acknowledgement. Update both copies when membership changes.
04 / Recovery log
One row per unresolved group: retry point, owner and final disposition. Check every approved ID at handoff, not just the total.
The private packet contains two versions of the same four-page US Letter PDF, plus a use-and-permission guide. Choose one version; the no-background version omits optional writing guides. No A4 or fillable form is included.
Know the limits before you enquire
Designed for handwriting at actual size, with half-inch margins. Names must fit legibly; this edition is not suited to large rosters that need more space. No automatic syncing, counters or reminders. No physical item is shipped.
The PDFs have saved screen-review evidence. Physical printing, handwriting fit, human field use and time savings remain untested. Original AI-assisted text and layout; no human-only authorship, photography credential, customer endorsement or guaranteed outcome is claimed.
How would we judge whether it helps?
Compare preparation time against your existing approved list while checking that every approved group keeps its exact membership and a single clear final status. That comparison has not yet been performed with a photographer. Free lists or your current spreadsheet may be sufficient.
What use would the proposed packet permit?
The recipient photographer or couple may print and adapt it for their own sessions and share working copies with that session's team. Photographers may reuse it across their own assignments. Resale or public redistribution of the blank template is excluded.
